Privacy Policy
This policy describes what data the platform processes, for what purpose, who has access to it, and how you can request correction or deletion.

What data is processed
Account data: name or contact person, email address, role (gym, promoter, administration), time of registration, acceptance of the terms of use and privacy policy with date and document version.
Gym data: gym name, head coach, contact person, contact email, phone, address, postal code, city, canton, country, website, disciplines, description, logo, approval status, number of unlocked fighter slots.
Fighter data: first and last name, nickname, date of birth, gender, nationality, country, affiliated gym, discipline, height, current weight, fight weight class, number of fights, wins, losses, draws as well as the breakdown by KO/TKO, submission and decision, past events, short biography, availability and related notes, photos, consents with date and, for minors, the details and consents of the legal guardian.
Fight requests: event name, promoter, date, location, discipline, requested fighter, target weight, optional opponent and their record, message, status history.
Technical data: login and session data as well as server logs generated while operating the platform.
Age instead of date of birth
Only the date of birth is stored. The age is continuously calculated from it for every display and in search, and is never stored as a separate value.
Protection of private data and fightcard files
Only approved fighter profiles with sporting information, a public profile photo and the affiliated gym are publicly visible.
Fighters' private contact details, phone numbers and email addresses are never displayed publicly and are never passed on to promoters. Fight requests run exclusively within the platform and are only delivered to the owning gym or its head coach.
High-resolution fightcard files are stored in non-public storage. They cannot be retrieved via a public address; access is only possible via short-lived, server-side authorized links for the owning gym, registered promoters and the administration.
Purposes of processing
- Operating the platform, accounts, login and role separation
- Managing gym and fighter profiles by the respective gym
- Reviewing and approving new gyms and fighter profiles
- Fighter search and mediation of fight requests between promoters and gyms
- Managing membership, fighter slots and receipts
- Security, abuse prevention and troubleshooting
- Use of approved images for fightcards, events, website and social media based on the consent given
Who has access
- Gym: only its own gym data, its own fighter profiles and its own fight requests
- Promoter: approved public fighter profiles, fightcard files within the scope of the request, and its own requests
- Administration: all data as far as necessary for review, approval, support and billing
- Public: only approved public profile information
Service providers, hosting and payment
The platform is operated on servers of processors that provide hosting, database, authentication, file storage and email delivery. These service providers process data on our behalf and only for the purposes stated above.
A payment service provider will be used for payments once online payment is set up. Payment data such as full card numbers will then be processed directly by the payment service provider and not stored on this platform. Currently, no online payment takes place via the platform.
Cookies and similar technologies
The platform uses only technically necessary cookies and local browser storage to maintain your login and provide security functions. No advertising tracking is used. If you block this storage in your browser, logging in will not be possible.
Retention
Account, gym and fighter data is stored for as long as the account exists and the profiles are in use. Consents are retained with date and document version for as long as required as evidence. Billing and receipt data is retained in accordance with statutory retention obligations. Data is then deleted or anonymized.
Correction and deletion
Gyms can correct their own information and fighter profiles at any time in the dashboard, deactivate profiles and replace photos. You can also submit a deletion request via the "Account" area. Critical gym, fighter and billing data is not deleted automatically but is reviewed by the administration and then deleted or blocked to the extent legally permitted. You will receive feedback on this.
Your rights
You can request information about the data stored about you as well as its correction, deletion or restriction. Consents given for image use can be withdrawn for the future. Please contact swissfightconnect@gmx.ch for this.
